IGEL Disrupt 2023

The ask

The Oddity Team partnered with Fuel Integrated to consult and manage the event logistics for IGEL Disrupt 2023. IGEL Disrupt consisted of two events, the first taking place in Munich, Germany in February and the second in Nashville, Tennessee in April. 

The approach

• Oddity met weekly with the event delivery team to guide on event best practices and recommendations for a successful event.
• We embedded ourselves within the IGEL and Fuel team to serve as an extension of their team. 
• Site visits at the Infinity Hotel in Munich, and the Gaylord Hotel in Nashville helped to determine the overall logistics of the venue, deliveries, AV, exhibition, and catering.
• We created an extensive workbook and timetable for the complex logistics to share with key stakeholders throughout the planning process.
• We sourced and contracted an exhibitor partner in Germany and the United States to design, produce and build 30-40 exhibition stands.
• we determined the food and beverage menu for the event, ensuring it covers all dietary requirements, was well-balanced with lots of options, and met the budget requirements. 
• Liaised with all suppliers on delivery and collection logistics and managed their set-up and tear-down.
• Worked with the IGEL team to assign rooms for 40+ break-out sessions and determined their room layouts and AV requirements.
• Understood and guided the team on the rules and regulations of taxes, fees, and cultural norms of hosting events in the United States and Germany. 

The results

• Worked alongside the Fuel Integrated team and successfully delivered two large-scale events with 1,000 attendees over four days in Munich, Germany and Nashville, Tennessee. 
• Built strong relationships with the onsite event team at the Infinity Hotel and Gaylord Opryland Hotel and the suppliers contracted for the event.
• 35+ sponsors and exhibitors were hosted during both events and, facilitated networking opportunities between attendees and exhibitors throughout the exhibition area during breaks, meals and the welcome reception.
• Attendees had a unique and memorable experience in the evenings, with an award show, entertainment and activations that included multiple food stations and bars, karaoke, vintage game machines, a photo booth, live music, and dancing. 
• Produced a detailed feedback report of best practices for IGEL Disrupt 2024 and advised on venue approach for 2025.
